1. Overview
At Solminica, we are committed to delivering high-quality digital solutions that meet your business requirements. We understand that circumstances can change and have established this Refund Policy to address those situations fairly and transparently.
This policy applies to all services contracted through Solminica, including web development, mobile app development, UI/UX design, digital marketing, and consulting services.
2. Project Deposits
Initial deposits paid to commence a project are generally non-refundable. These deposits are used to:
• Allocate and reserve development resources
• Conduct initial discovery, research, and planning
• Purchase necessary software licenses, tools, or third-party services
• Cover administrative and onboarding costs
Deposits represent a good-faith commitment from both parties to proceed with the project.
3. Milestone-Based Refunds
For projects structured with milestone payments:
• Payments for completed and approved milestones are non-refundable
• If you cancel a project mid-milestone, you will be billed for the proportion of work completed
• Milestone completion is confirmed when the client provides written approval or fails to raise issues within the review period specified in the project agreement
We document all deliverables and approvals to ensure clarity and fairness.
4. Eligible Refund Scenarios
Refunds may be considered in the following circumstances:
• Solminica fails to commence work within 30 days of the agreed start date (deposit refundable in full)
• A critical deliverable does not meet the agreed specifications after two rounds of revisions, and Solminica is unable to remedy the issue
• The project is cancelled by Solminica before commencement (full deposit refunded)
• Duplicate payment was made in error (full amount of duplicate payment refunded)
All refund requests must be submitted in writing within 14 days of the triggering event.
5. Non-Refundable Situations
Refunds will not be issued in the following circumstances:
• Client changes their mind about the project or scope after work has commenced
• Client is unresponsive for more than 30 days causing project delays
• Client-provided content, assets, or requirements are incomplete, inaccurate, or delayed
• The project was completed as per the agreed specifications and approved by the client
• Third-party costs (domain registrations, hosting, software licenses, API fees) already incurred
• Delays caused by the client's failure to provide timely feedback or approvals
6. Refund Process
To request a refund:
1. Contact us at [email protected] with the subject line "Refund Request — [Project Name]"
2. Include your name, company name, invoice number(s), and a detailed reason for the request
3. Our team will acknowledge your request within 2 business days
4. We will review the request against the project agreement and this policy within 7 business days
5. If approved, refunds are processed within 10–15 business days to the original payment method
For disputes, we encourage direct negotiation first. If unresolved, disputes are subject to arbitration under the laws of Jaipur, Rajasthan, India.
7. Subscription & Retainer Services
For ongoing retainer agreements and subscription-based services:
• Monthly retainers paid in advance are non-refundable for the current billing period
• Cancellation takes effect at the end of the current billing cycle
• Annual plans cancelled within 14 days of commencement may receive a pro-rated refund for unused months
• Annual plans cancelled after 14 days are non-refundable but services continue until the end of the paid period
Notice of cancellation must be provided in writing at least 30 days before the next billing date.
8. Policy Updates
Solminica reserves the right to modify this Refund Policy at any time. Changes will be posted on this page with an updated effective date. Continued engagement with our services after any changes constitutes acceptance of the updated policy.
